The Private Road Members Association (PRMA) is committed to protecting and respecting your privacy. This policy sets out the basis on which any personal data we collect will be processed by us. For the purposes of data protection, the data controller is John Scruton, the Honorary Treasurer of the Association, at 48 Private Road, Mapperley, Nottingham, NG3 5FQ.

- Information you give us. We process personal information to enable us to administer our membership records and activities including fundraising; maintaining our own accounts and records; supporting and managing our staff and volunteers.
- Information we collect throughout our relationship. This is information relating to your identity and use of our services, including financial information relating to payment of annual road charges.
- Information we retain. This information includes your name, address, telephone number, email address and record of barrier keys issued. Please let us know if any of this information changes so that we can keep our records up to date.
Why do we collect this information?
We use this information in the following ways:
- To communicate with you about activities and administrative processes within the PRMA estate.
- To control the status, issue and validity of barrier keys.
- To send invoices for the collection of the annual road fee.
- To deal with any queries relating to your interaction with the Association.
- To provide you with service communications so that you receive due notification of activities and events in the Association’s sphere of interest. These will be sent by email, or, if the circumstances require it, we may contact you by phone.
How long do we keep hold of your information?
We will keep information about you for as long as you remain resident unless you ask us to remove such data from our records.
Who might we share your information with?
We will not share your personal information with anyone outside PRMA or our external contractors.
How is your data stored and kept secure?
PRMA takes your safety and security very seriously and we are committed to protecting your personal and financial information. All information kept by us is stored in our own systems, by duly elected members of the Association or external contractors who enter into a suitable confidentiality agreement.
What are your rights?
Where processing of your personal data is based on consent, you can withdraw that consent at any time. We assume that providing us with the data implies your consent to its use as described.
You have the right:
- To request from us access to personal information held about you.
- To ask for the information we hold about you to be rectified if it is inaccurate or incomplete.
- To ask for data to be erased provided that the personal data is no longer necessary for the purposes for which it was collected.
